Cancellation policy for private parties and celebrations

Payment terms
Upon signature or written confirmation of the event, a prepayment of DKK 3,000 will be charged. This amount is non-refundable in the event of cancellation.
75% of the confirmed amount is due for payment no later than 1 month prior to the event. The remaining balance is payable upon receipt of the invoice after the event has taken place.
Payment may be made in accordance with applicable law. Cash payments may not exceed the amount permitted at any time under applicable anti-money laundering legislation.
Gift cards may be used to the extent technically possible and in accordance with Comwell’s gift card terms. A maximum of one gift card may be used as payment per party/event.
Cancellations
Any cancellation or amendment of the event on the agreed date, as well as any increase or reduction in scope, must be made in writing by email.
The event may be cancelled free of charge up to 3 months prior to the agreed date. A reservation fee of DKK 3.000, charged upon conclusion of the agreement, is non-refundable, as it covers administration and reservation of the venue.
In the event of cancellation between 3 and 2 months prior to the event, 50% of the confirmed amount will be invoiced.
In the event of cancellation between 2 and 1 month prior to the event, 75% of the confirmed amount will be invoiced.
In the event of cancellation less than 1 month prior to the event, 100% of the confirmed amount will be invoiced.
Extended Cancellation Right
For bookings of parties and functions, an extended cancellation right may be purchased for a fee of 6% of the total event price, up to a maximum of DKK 200.000. The extended cancellation right entitles the guest to cancel or reduce the booking free of charge up to 72 hours prior to the start of the event.
Special Terms for Parties and Functions
Final guest and room numbers must be confirmed no later than one month before the event. Any unconfirmed rooms will then be released. Guest numbers may be reduced by up to 5% free of charge until 48 hours before the event.
The organiser is liable for damage caused by the organiser or participants to Comwell’s buildings, furnishings or other facilities. Comwell may make minor changes to the function room, menu or event arrangements, provided the overall nature of the event is not materially altered.
