Many meetings now take place digitally. We have learned to master that. But there is a middle ground between an in-person meeting and a fully virtual meeting that remains underused in most organisations: the hybrid conference. A format that allows participants to join from multiple locations without those attending in person losing the sense of connection and dynamic interaction that make a meeting worth travelling for.

At Comwell Hotels, we are seeing strong demand for hybrid conference solutions. Here, we share our experience of what works and what requires particular attention.

When Does a Hybrid Conference Make Sense?

The hybrid format is particularly valuable when an organisation has employees or business partners in several countries. Flying eight colleagues in from an international office for a three-hour status meeting is neither financially nor environmentally responsible. But excluding them from the conversation is not a solution either.

The hybrid model allows them to participate actively, ask questions and contribute without the travel time and cost of flights. At the same time, those attending in person retain the face-to-face interaction that makes a difference to collaboration and relationship-building.

What Does a Professional Hybrid Setup Require?

A hybrid meeting that works well requires more than a laptop with the camera switched on. Remote participants need to be able to see, hear and participate on equal terms with those in the room. This means:

A high-resolution camera that covers the entire room and can zoom in on whoever is speaking. Microphones that capture speech clearly, regardless of where the speaker is in the room. A screen in the room that displays remote participants at a size that ensures they remain visible and included. And a stable, dedicated internet connection with sufficient bandwidth for high-quality video.

At Comwell Hotels, our hotels have digital conference equipment that supports hybrid formats. Our AV technicians at each hotel can help tailor the setup to your specific needs and are on hand throughout your meeting should any unexpected technical issues arise.

The Business Case for Hybrid Conferences

For organisations with international offices, the hybrid format can significantly reduce travel costs without compromising collaboration. An annual conference, a kick-off meeting or even a Christmas party that might previously have required flights for 20–100 participants based away from head office can, with a professional hybrid setup, save CO2, time and money while still delivering value for everyone involved.

The key is ensuring that the hybrid setup is professional. A poor hybrid meeting is worse than no meeting at all because it signals that the organisation is not investing in its remote colleagues.

Summary

The hybrid conference is a business tool that saves travel time and costs without excluding remote participants from the conversation. It requires professional video conferencing equipment, a stable internet connection and considered facilitation to ensure that all participants can take part on equal terms. At Comwell Hotels, we have the technical infrastructure and experience with hybrid formats across our hotels, and our MeetingDesigners and AV technicians help design a setup that works for both in-person and remote participants.

Business Entertainment Deductions: The Rules for Corporate Events

Conferences, client events and company parties are a natural part of doing business. But the tax rules governing business entertainment can be complex, and mistakes can have real consequences. Knowing the rules before you book can help you avoid unpleasant surprises when it is time to finalise the accounts.

From 10 to 1,000 Participants: How to Scale Without Losing Control

There is a world of difference between a meeting for 10 participants and a conference for 1,000. Perhaps, over the course of a year, you hold both strategy meetings for senior management and an annual kick-off for the entire organisation? The logistical requirements are naturally very different, and a venue that works well for 50 people may not be able to accommodate your needs when you require space for several hundred.

How to Measure the Success of Your Conference

Most conferences are evaluated based on gut feeling. “It went well.” “The participants seemed happy.” “The food was good.” But can you demonstrate that the event was worth the investment? And can you use data from this conference to make the next one even better?
