An annual meeting is a significant investment. Not just financially, but also in terms of time, planning and the expectations of participants, management and the board. Choose the wrong venue, and you'll notice it in everything from technical issues to participants spending more energy on logistics than on the content.

At Comwell Hotels, we have more than 55 years of experience hosting large meetings and conferences. That experience has taught us what separates a successful annual meeting from one that was simply "good enough". Here are the 10 factors we recommend considering before you sign an agreement.

1. Venue Capacity and Flexibility

It may sound obvious, but this is surprisingly often where things go wrong. A room may comfortably accommodate 200 people for a standing reception but feel overcrowded with 120 seated guests in a theatre-style setup.

That's why, as a meeting planner, you should always ask for the size of the room in square metres and the exact capacity for the setup you need. And think beyond that: Can the room be divided for workshops? Are there adjacent rooms for breakout sessions? A good venue allows you to change formats throughout the day without having to move the entire group.

2. AV Equipment and Technical Infrastructure

A projector and microphone are not enough. An annual meeting typically requires a high-resolution large screen, wireless presentation sharing, multiple microphones – both handheld and headsets – and a sound system that works effectively in large rooms without echo.

Ask whether the equipment is permanently installed or needs to be hired and set up. Permanently installed equipment is more reliable and can help you avoid unpleasant surprises on the day. You should also check whether an AV technician will be available during the event.

3. IT Security and Network

This is a factor that many people overlook, but it can disrupt an entire event. If 200 participants connect to the same Wi-Fi network and the connection fails during the CEO's presentation, you have a problem.

To avoid situations like this, you need to know:

  • How many simultaneous users can the network support?

  • Is there a dedicated network for the event, separate from the network used by other hotel guests?

And importantly:

  • Does the network meet your company's IT security requirements?

Many companies have policies for encryption and VPN access that the chosen venue must be able to support.

4. Location and Accessibility

Participants should be able to get to the venue easily. That means good access to public transport, sufficient parking and, ideally, easy access from the motorway.

If you have participants flying in, the distance to the airport is also worth considering. And don't forget the practical details: Is the signage clear? Is the venue wheelchair accessible? Good logistics are about removing friction so participants can focus on what they came for.

5. Catering That Keeps Energy Levels Up

An annual meeting is a long day. Catering is not an afterthought – it's part of the overall experience. Good coffee in the morning, a lunch that provides energy without feeling too heavy, and afternoon snacks that help participants stay focused.

Ask about the composition of the menu and the quality of the ingredients. And remember to check whether the venue can accommodate special dietary requirements. It's not just an added service. It's essential when bringing a large group of people together.

7. Accommodation Options

If your annual meeting takes place over several days, or if participants are travelling from further afield, accommodation is a practical necessity. A venue with hotel rooms on site makes the logistics simpler.

Participants don't have to coordinate transport between the hotel and meeting venue, and you don't have to manage two separate bookings. It also creates a more seamless experience, where informal networking in the evening becomes a natural extension of the day's programme.

8. Breakout Areas and Informal Spaces

The best ideas rarely emerge in the meeting room. They happen during breaks, by the coffee machine or on a walk outside. A good venue has inviting communal areas where participants can step away, talk in smaller groups or simply take five minutes to unwind.

9. Experience with Large-Scale Events

There's a difference between a venue that can accommodate 300 people and one that has done it many times before. Experience brings well-established routines for cloakroom management, participant registration, quickly reconfiguring rooms and handling the unexpected.

Ask for references from similar events or speak to a meeting planner who can explain how a typical event day works in practice. This will give you a much clearer picture than a brochure.

The final factor is the one that brings everything together. An annual meeting is more than just a meeting.
