A Roadmap That Works

Based on our experience with executive meetings, we recommend an overall structure across two days that alternates between focused work sessions, active breaks and informal discussion:

  • Arriving in the afternoon gives participants time to shift their focus away from the working day.

  • A brief welcome followed by a focused 90-minute session can set the direction for the meeting.

  • Then dinner, where the conversation can continue in a more relaxed setting.

Informal conversations in inspiring surroundings after the day’s official programme can be productive and help set you up for a successful day ahead.

  • The morning session the following day is typically the most productive. Use it for the most important decisions.

  • Include a walk-and-talk or a break over morning coffee.

  • Finish with a focused action session where participants agree on the next steps before leaving the room.

The key is to leave room in the agenda for the unexpected. A discussion that needs more time than planned should not be cut short by an overly rigid schedule.
