There is a world of difference between a meeting for 10 participants and a conference for 1,000. When Does Scaling Become a Challenge?

Most organisations can manage meetings for up to 30–40 participants without major logistical considerations. Once the number of participants exceeds 100, however, the complexity increases significantly. Flow management becomes crucial: How will participants arrive? Where will they register? How will they move between the plenary room and workshops? Where will they have lunch without queues forming?

Accommodation Capacity for Large Events

When an event has more than 100 participants and runs over several days, accommodation capacity becomes a critical factor. At Comwell Hotels, we have approximately 2,800 hotel rooms across Denmark. This means that at most of our hotels, we can accommodate all conference participants in one place, eliminating the need for transport logistics and creating a more seamless experience.

Food and Refreshments on a Large Scale

Serving lunch for 30 people is very different from catering for 500. It requires multiple serving stations, individually portioned dishes to reduce waiting times and a kitchen operation capable of delivering consistent quality on a large scale.
